This page describes the most commonly used functions and addresses the most frequently asked questions regarding the use of Image Portal. For a complete guide to the system, please:

What is Image Portal?

Image Portal is University Photo's Digital Asset Management (DAM) system. UPhoto now has the ability to set up private, password-protected user accounts using Image Portal (not the same as our Image Library) where you can have access to both the images you use/order from UPhoto, as well as your own departmental image and media collections.

Currently UPhoto is offering 2 services using Image Portal:

  1. Electronic Delivery (free) - We can set up an account so that when you order a shoot from UPhoto, we deliver it to you electronically via Image Portal. You will have a user name and password that will enable you to log in, view your photos and/or download them. This delivery system will replace the need for CDs and be significantly faster. Only you and those you wish to give access to will have access to your account and images. You can select favorites, and we will replace the ones you choose with the hi-res conversions we do for you as part of the original shoot fee. Images will remain in your dropbox for approximately 30 days, after which time they will be removed. You will be responsible for the long-term storage of your images and metadata.

  2. Digital Asset Management (DAM) Subscription (fee-based) - We can set up an account for you that contains all of the digital images that UPhoto has shot for you in the past, to which we will add the shoots that you order going forward. Anything shot by UPhoto will be uploaded to your account, and we will take care of entering the metadata and categorizing the images. The images will stay in your account for as long as you like. You will have 24/7, searchable access to all of your images all in one place. You will also be able to import any digital content that you wish to, including anything not originating from UPhoto, provided you have the rights to do so. Read more about the benefits of DAM here.

    The DAM subscription rates are on a sliding scale, dependent on the amount of material you have. Certain management strategies can be employed to mitigate costs as well. To get an estimate of what it would cost your department to subscribe, please contact Corey at 607-255-1877 or cjc85. The benefits and terms of subscription are as follows:

    1. Web access to the Image Portal DAM System at http://imageportal.uphoto.cornell.edu;
    2. Unlimited user accounts;
    3. Electronic delivery and storage of low resolution (7.5" x 5" @ 150dpi) digital images shot by University Photo for the client;
    4. Electronic delivery and storage of high resolution images requested at the time of the original shoot;
    5. Electronic delivery and storage of high resolution images modified for production or purchased through the Image Library at http://imagelibrary.photo.cornell.edu;
    6. Unlimited use of images residing in the client's Image Portal account;
    7. Access to all digital images shot for the client in the past (2001-Present);
    8. The ability to upload any digital assets into the system, including those not originally shot by University Photo, provided the client has the rights to do so;
    9. 100 GB of storage space, expandable at any time for an additional $50/100GB/mo.;
    10. Support for the application via University Photo, and through them, via NetExposure, the system's vendor;
    11. Free access to such training and materials as are provided by University Photography in the use of the system.
    Additional Terms:
    • University Photography does not distribute original RAW camera files;
    • Any images requested in high resolution that were not requested as such at the time of the original shoot or that need to be re-purposed for a specific use shall incur the standard conversion fee of $12.00/image;
    • Any images not originally shot for the client must be purchased from the online Image Library at http://imagelibrary.photo.cornell.edu. Once purchased, said images will be delivered via Image Portal;
    • The client understands that the service is hosted remotely and that there may be occasional down time due to software updates, maintenance, or unforeseen service interruptions. University Photo shall not be held responsible for such downtime; in such cases every effort will be made to restore service as soon as possible.

Getting Access

If you are a Cornell employee and you wish to obtain an Image Portal account, please contact us at 607-255-1877 or cjc85. If you are not a Cornell employee, you must obtain access through the department you are working with. The URL to access Image Portal is http://imageportal.uphoto.cornell.edu. Simply enter your username and password. Your password will have been provided to you by email when you originally obtained your account. The subject of the email is 'Image Portal Access.' Once logged in, you may change your password at any time by clicking on your name (upper right corner), then the 'profile' tab.

Searching

The search box for Image Portal is located in the upper left corner of the screen. Simply type in a keyword and click search.

Select Images

To locate images that were selected as the best images in a shoot, simply append the word 'select' to your search. Selected files have '_select' appended to the original filename (e.g. 0001_09_001_select.jpg). Adding 'select' to your search will limit your search to only those photos that were originally selected as favorites.

Hi-Res Images

To locate images that were originally requested in high-resolution, simply append the word 'hires' to your search. Hi-res files have '_HIRES' appended to the original filename (e.g. 0001_09_001_HIRES.tif). Note also that high-resolution photos are in uncompressed .tif format instead of .jpg format. Adding 'hires' to your search will limit your search to only those photos which are in high-resolution.

Advanced Searching

To use Image Portal's advanced search, click on the button to the left of the search box. From the first dropdown menu, choose an option, or choose 'Attributes' to search within your defined metadata fields. Then choose the appropriate options from the remaining dropdown menus. To add a search parameter, click the + sign at left, and repeat the above steps. If you wish to save your search, check 'Save Search.' Click 'Search' to perform your search.

Browsing

To browse image categories, expand the categories at left by clicking on the arrows to the left of them. Clicking on a category will display all images in that category, and will also display any subcategories to allow you to narrow your search further. Simply click on a subcategory to see the images in it.

Viewing Images and Image Information

When you browse or search, you will be presented with a thumbnail gallery of images with image ID numbers beneath them. You may change your view by clicking the buttons at the bottom of the screen to change to a list view (which will display thumbnails at left with metadata at right), or a display flow view, which will allow you to scroll through images quickly as though they were in a photo album.

To view details of a particular image, simply click on it. On the next page you will see a number of tabs; 'File Info' presents information that was originally embedded in the photo file, i.e. camera settings information and embedded metadata from ITPC tags. 'Attributes' presents the user-defined metadata fields where information is manually entered regarding the image. 'Categories' shows the category or categories that the image resides in. 'Permissions' shows who may view the image, and 'Versions' will display alternate versions (if any) of the image.

Using the Cart

The cart is where you place images in order to apply changes or download them in bulk. The most commonly used functions used from the cart are 'Edit Metadata,' 'Organize,' and 'Download.'

Adding Items to the Cart

You may add individual items to the cart by clicking the icon from the gallery view or the list view. If you are viewing image details, you can add that image to the cart by choosing 'Add to Cart' from the Actions dropdown underneath the image thumbnail. To add your entire search results to the cart, click 'Add All to Cart' from the Actions dropdown at the bottom of the gallery view page. Once you have all the images you wish to modify in the cart, you are ready to apply your changes in bulk.

Editing Metadata

To edit metadata in bulk, choose 'Edit Metadata' from the Actions menu in the cart. You will be presented with a screen that shows all of your metadata fields (blank) with checkboxes to the left of them. Check off only those fields that you wish to modify, and enter the new information in the text boxes. At the bottom, choosing 'replace' will replace existing data (if any) with the new data you are entering. Choosing 'append' will append what you have entered to any data that already exists. Choose 'Edit' to effect your changes. Clear the cart (button at bottom left of the cart) when you are finished.

Organizing (Categorizing) Images

To move or add a large number of images to a cateory at once, choose 'Organize' from the Actions menu in the cart. On the next page you will be asked to enter the destination category, and whether you wish to add or move the images in the cart to another category. Choosing 'add' will add the images to that category, but also keep them in the category in which they currently reside. Choosing 'move' will transfer the images to the chosen category, removing them from the category in which they currently reside. You may add images to as many categories as you like. Clear the cart (button at bottom left of the cart) when you are finished.

Downloading Images

To download images in bulk, add the images to the cart, then choose 'Download' from the Actions menu at the bottom of the cart. The system will create a .zip file for you to download to your desktop. You will be required to unzip the file to see the images (this will require WinZip or some other unarchiving program). To download a single image, click on it to view its details, then choose 'Download' from the Actions menu below the thumbnail at left.

Importing Images

Note that only users with sufficient privileges may import. Images can be imported into Image Portal in one of two ways, either from within the application itself, or using a helper application called AirImporter.

Importing From Within Image Portal

To upload from within Image Portal, click on the button. To choose an existing category, simply start typing the category name in the text box. You will get a pop-up with all of the categories that contain the text you are typing. Select the one you want, then click 'Add File(s)'. Browse to the images on your computer, select them, and click 'Open'. The system will import your images. To import your images into a new category, select 'Create New Category', type in your category name, then repeat the steps above. Once imported, navigate to your new images by browsing to the category they were imported to, or search for them.

Importing Using AirImporter

For speedier upload of large amounts of images, you may be interested in installing a helper application called AirImporter (info sheet). To use the Image Portal Air Importer:

  1. Download and install the latest version of Adobe Air;
  2. Download and install the Air Importer;
  3. Open the application and log in using your Image Portal username and password (for the URL enter http://imageportal.uphoto.cornell.edu);
  4. Drag and drop images and/or folders into the appropriate categories.

The Dropbox

Each Image Portal account has a 'DROPBOX' folder as a subfolder of the main folder. This is where new shoots are uploaded by UPhoto to your account. Whether you use Image Portal for electronic delivery only or you are a DAM subscriber, images will reside in the dropbox for approximately 30 days, after which time they will be removed. If you are a DAM subscriber, the images will remain in your other categories.
